*German VAT is 16% (as of July 1st 2020). Local VAT is applied for all EU and non-EU payments on the basis of the VAT legislation regarding the admission to a cultural, scientific, educational event (articles 53 and 54.1 of the European VAT DIRECTIVE 2006/112/EC).

Important:

No show policy: Authors which do not participate in the Conference, or who participate but do not present their paper according the guidelines, will have their paper cancelled and the paper will not be published in the Proceedings and will not be publishable in a special issue of any of the journals. In case of no show fee refund is not possible.

Fee types:

  1. Full conference fee allows access to all Conference Sessions, the Conference Social programme, Book of Abstracts, downloadable Proceedings and other Conference material, the submission and presentation of up to two papers (oral + poster; oral presentation is mandatory). The fee is also used to support participation of students and participants from developing countries and economies in transition.
  2. Active SAB members – active meaning that SAB members has sent at least 3 invitations to the conference (which have been followed), or has done at lest one review. Additionally, if invitations are accepted SAB members can extra discount
  3. Attendance fee is available to non-presenting co-authors and other participants that are not planning to present any submission. In case that author changes status to presenting, he/she will have to settle the fee difference. Full fee without presentation allows access to all Conference Sessions, the Conference Social programme, Book of Abstracts, downloadable Proceedings and other Conference material. The fee is also used to support participation of students and participants from developing countries and economies in transition.
  4. Reduced and special reduced conference fee allows access to all Conference Sessions, the Conference Social programme, Book of Abstracts, downloadable Proceedings and other Conference material, as well as submission and presentation of up to two papers (oral + poster; oral presentation is mandatory).

    Reduced fee application deadline is March 12, 2020. After the deadline it will not be possible to apply. Approvals of reduced fee applications will begin after that date when applicants will receive a confirmation e-mail. While waiting for the answer, the status of the paper will not change. Failing to settle the fee in due time, the reduced fee status would be cancelled, as well as paper would be converted to conference paper.

 

Reduced conference fees policy

Reduced conference fees may be granted to authors only under the following terms:

  • number of granted reduced fees will be limited to 30% of the total received regardless of the deadline
  • it will be granted on the basis first asked, first served
  • to BSc, MSc and PhD students, with proper documentation presented proving the student status
  • to authors from countries in transition and development which have GDP/cap of less than 8000 USD in any of the data series published by: http://en.wikipedia.org/wiki/List_of_countries_by_GDP_(nominal)_per_capita

 

Reduced fee request will have to be made through the fee module in the conference submission system, before relevant deadline.

Special reduced conference fees may be granted to authors only upon request and under the following terms:

  • up to 15 special reduced conference fees (i.e. difference between reduced fee and special reduced fee) are financed by SDEWES Centre, max 1 author per country (additional stipends may be financed by other sponsors)
  • to authors studying/working in countries in transition and development which have GDP/cap of less than 4000 USD in any of the data series published by: http://en.wikipedia.org/wiki/List_of_countries_by_GDP_(nominal)_per_capita, max 1 author per country
  • to authors studying/working in the following countries: UA + MD + GE, max 1 author per country

Special reduced fee request will have to be made through the fee module in the conference submission system.

Online fees policy

Authors that settle an online fee will present through video or audio narrated presentations on our virtual conference platform with the same publishing policy as if presented in person. Authors will have the right to present online also in the case the conference is held on-site. Authors that pay an online fee but decide to attend in person will have to settle the fee difference. Authors that pay or have paid a regular fee but choose to present in an online mode will receive a SDEWES credit in the amount of their fee difference that may be used for any future SDEWES Conference.
The deadline for the above-mentioned changes will be the same as the cancellation/refund deadline.

 

Members of IC SDEWES can have their fee waived if they have an active membership for the running year (membership expires on the 31st December) and have not yet used the waiver option at other SDEWES events in the same year.

Membership is non-refundable and non-transferable!

 

The accompanying person fee allows access to the Conference Social programme only. It is not available to co-authors of submitted papers.

Additional papers per presenting author will be allowed for an additional paper fee (additional papers are presented as posters).


Other important information:

Cancellation policy: Cancellations must be received in writing before August 01, 2020 in order to obtain a refund minus a 100 EUR + VAT* administrative charge. After August 02, 2020 refunds are not available, sorry, no exception. Cancelled papers will not be published in Proceedings and will not be invited in special issue.

Participants that need visa are kindly asked to settle their fee before June 11, 2020, since after that date the time will be too short for visa formalities (see visa page).

Specialised courses participation fee allows access to one of the specialised courses, all the relevant materials, exam and diploma. It may also include ECTS in case the course issues them.

Publishing policy: Only papers presented at the Conference by one of the authors will be published in the Proceedings, which will be delivered to the participants online by October 15, 2020. Book of Abstracts and other Conference material including the application for later downloading online Proceedings, will only be delivered at the Conference venue to the presenting authors. The materials will not be available after the Conference by mail.

Special issue publishing policy: Only papers that corresponding authors nominate, ISC with help of reviewers recommends, presenting author has the conference fee settled by June 5, 2020 and have the paper presented at the Conference, may be invited to one of the special issues.
